Getting Started as a New Employee

Welcome to 1 on 1 Comprehensive Healthcare Solution. Before your first shift, there are a few important steps to complete. Follow the instructions below carefully.

Complete Your New Employee Paperwork

Personnel and Tax Information

  • Employment application
  • Surveillance camera consent
  • Offer letter acknowledgment
  • Employee notice
  • Probation agreement signed
  • W-4 (federal tax form, state tax form)
  • Probation agreement

License, ID, and Work Documents

  • Copy of your license or certification (if applicable)
  • Employee handbook signature page
  • Criminal background check and OIG Exclusion List search (supervisor)
  • Work authorization documents
  • I-9 form
  • CPR certification (if applicable)

Health Records

  • Hepatitis B virus (HBV) documentation
  • TB test results โ€” Step 1 and Step 2 (At least 1 step negative or negative blood TB test before starting). 
  • Other health records as required (COVID, flu, etc.)

Orientation Documents

  • Signed job description
  • Signed orientation checklist
  • Confidentiality statement
  • Infection control training and competency test
  • Mental health training and test
  • Dementia training (8 hours at hire, 2 hours yearly), training and test.  Additional Dementia training in Educare.  
  • Emergency management training and competency test
  • Medication training and competency test
  • Hoyer/overhead lift competency (if applicable)
  • Statute orientation training and signature including:
    • Fraud training
    • Agreement to follow policy
    • Bill of rights
    • Grievance and complaint form
    • Vulnerable adult reporting
    • HIPAA acknowledgment

Log In to Residex

Residex is the system we use to manage medications, documentation, and charting. You will receive your employee ID and temporary password before your start date.

To get started:

  1. Go to Residex.ai
  2. Enter the Username and password provided to you.
  3. Residex will prompt you to create a new password. Choose something you will remember.
  4. Add your phone number when prompted. This step is required. Your phone number is how Residex will verify your identity if you ever need to reset your password.
  5. Once logged in, go to Today on your dashboard.

After logging in, you will see training modules assigned to you in Residex. These are required before you begin working independently.

Your assigned training will help you:

  • Understand how to use the Residex system
  • Learn how to navigate, chart, pass medications, perform daily charting, documentation and etc.
  • Get familiar with this tools,  you will use it every day

Complete all assigned training before your first solo shift. If you have trouble accessing your training or do not see any modules assigned, contact your supervisor right away.

Complete Your EduCare Training

In addition to your Residex training, you are required to complete online training through EduCare before your first shift.

To get started:

  1. Go to Educaretrainingonline.westnetmlp.com
  2. Use the login credentials provided to you by your supervisor or the office.
  3. Once logged in, locate the training courses assigned to you.
  4. Complete all assigned courses in full.  These assigned courses are state mandated and MUST be completed! Work on your assigned training and get it done immediately.  Failure to complete these assigned training may result in removal from the schedule and or termination.  
  5. Some courses will require you to pass a quiz at the end. Read each section carefully before moving on.

Tips for Completing Your Training

  • Use a computer or tablet for the best experience
  • Complete your training in a quiet space where you can focus
  • Do not close out of a course before finishing. You may lose your progress.
  • If a course freezes or will not load, try refreshing the page or using a different browser

Employee Payroll & Paychex Setup

All employees are required to complete their Paychex account setup upon hire. Please use the invitation email sent to your personal email address to create and activate your Paychex account. During setup, carefully review and verify all personal information, including your legal name, address, phone number, tax information, and emergency contact details to ensure payroll accuracy and compliance. Employees must also update and confirm their direct deposit banking information within the Paychex app or employee portal. Direct deposit is mandatory for all employees at 1 on 1 Comprehensive Healthcare Solution LLC to ensure timely and secure payroll processing. Employees are responsible for keeping all information current and notifying management immediately if any updates or corrections are needed.

Time Card Correction Form

  • Download and print the Time Card Correction Form below.
  • Fill in your name, job title, pay period, and home location.
  • Enter the incorrect time and the corrected time.
  • Write a brief reason for the correction.
  • Sign the form. Have your supervisor sign it too.
  • Submit to Mawa Kamara or your direct supervisor.
  • Submitting false timecard information is illegal and may result in termination
  • One form per correction date
  • Late submissions may not be processed until the following pay period

Submit within 48 hours of a missing punch. All forms must be received before 11:00 AM on Monday after the pay period ends. Forms submitted after the deadline may be held until the next pay period.

Scheduling, Attendance & Time Clock Policies

All employees are required to use the company time clock system for accurate payroll tracking and attendance documentation. Employees must use their assigned employee number to log into the time clock system at the beginning and end of each shift. Failure to properly clock in or out may result in payroll delays or corrective action. Most employee schedules are fixed and assigned based on staffing needs and resident care requirements; however, employees should always check in with their direct supervisor regarding schedule updates, shift changes, or coverage needs.

If you are unable to report to work, you are required to personally call the home directly and notify the staff currently working on shift. In addition, you must also call your direct supervisor and the Director to report your absence. Text messaging instead of calling is strictly prohibited for call-ins unless specifically approved by management during emergencies. Proper communication is essential to ensure resident safety and maintain adequate staffing coverage. Any hours worked over 40 hours in a workweek will be paid as overtime in accordance with company policy and applicable labor laws.
